Tutorial - Create End-of-Month Statements
Creating end-of-month statements for customers is very simple with Leavins Inventory Manager.
1. Go to the Create Statements page
If you are not already at the Home Page, please click on the Home Button (the house near the top of the screen).
Click on the link that says 'Manage customers.'
You should now be at the 'Manage Customers' page. Click on the link that says 'Create Statements for Customers.'
2. Specify start of current billing period
At the top of the Create Statements page, there is an option that asks "when did the current billing period start?"
By default, Leavins Inventory Manager assumes that the current billing period is one month ago. If this is not the case, please adjust this date.
You can either enter the date manually (in MM/DD/YYYY format) or you can click on the calendar icon to the right of the date and choose the starting date using a graphical interface.
3. (Optionally) Change sort order and included customers
Statements list the customer's transactions, and these transactions are sorted by time. By default, Leavins Inventory Manager sorts these transactions in ascending order. The earliest transaction is at the top, and the most recent transaction is at the bottom. You can easily reverse this order by clicking on the drop-down box that says 'Sorting order for transactions.' This preference will be saved when you print your statements.
Leavins Inventory Manager automatically creates statements for all customers that owe money. You can select (or de-select) individual customers using the table in the middle of the page. Just click the unchecked (or checked) box to the right of the customer's name.
4. (Optionally) Select the 'print orders' checkbox
Some businesses include receipts of a customer's purchases with every monthly statement. Just click on the box that says 'Print orders along with statements?' to automatically include orders with your statement printout(s).
5. Click 'Print Statements for All Checked Customers' button
After clicking this button, you should see the normal Windows 'print document' window. From here, you can select a printer and print the customer statements.
